The type of personal information we collect 

We currently collect and process the following information:

  • Personal identifiers, contacts and characteristics (for example, name and contact details)

  • Brief notes documenting the content of your coaching sessions and the start and end dates of your sessions. 

  • ‘Online identifiers’ includes IP addresses and cookie identifiers which may be personal data.

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • To contact you to book coaching sessions in. 

  • To send you information about our services. 

  • To keep records of our coaching sessions. 

  • To hold contracts with you setting out our services. 

  • To send you marketing communications if you have opted in to them. 

We also receive personal information indirectly, from the following sources in the following scenarios:

  • Google Analytics to see who is interacting with our adverts and website.  

  • Squarespace (our website provider) to collect marketing information. 

  • Contacts who refer you to the organisations with your consent via email and Whatsapp. 

We use the information that you have given us in order to contact you to provide you with life coaching services. Online identifiers’ includes IP addresses and cookie identifiers which may caoture personal data. It helps to identify visitors, enable the website to function efficiently, personalise content and permit online behavioural target advertising.

We may share this information with the International Coaching Federation (ICF) and Animas. I am working towards a ICF accreditation which means that I will be required to keep the names and contact information of all Clients for possible verification by the ICF. In your contract with Banish, you will have agreed to have only your name, contact information and start and end dates of coaching shared with ICF staff members and/or other parties involved in this process for the sole and necessary purpose of verifying the coaching relationship, no personal notes will be shared. According to the ethics of our profession, topics may be anonymously and hypothetically shared with other coaching professionals for training, supervision, mentoring, evaluation, and for coach professional development and/or consultation purposes.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting louise@banish.london 

(b) We have a contractual obligation and the processing is necessary for the contract with the individual. 

(c) We have a legal obligation and the processing is required for us to comply with the law.

(d) We have a vital interest and the processing is necessary to protect someone’s life. If I believe a client is in imminent danger of killing or injuring themselves or another person, I will phone the local police or emergency services immediately in line with guidance from the ICF. 

(e) We have a legitimate interest and the processing is necessary for your legitimate interests or the legitimate interests of a third party, unless there is a good reason to protect the individual’s personal data which overrides those legitimate interests

How we store your personal information 

Your information is securely stored. 

We keep names, email addresses, addresses, phone numbers and client notes and recordings for 7 years. We will then dispose your information securing by using a data deletion tool.

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information. 

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances. 

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances. 

Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
